Data Privacy Statement
This statement was last updated on 1st March 2018, it outlines your rights as a data subject – and our compliance with GDPR (required from May 2018).
The Stragglers Running Club is a London-based amateur sports club with sections for running (road and cross-country), cycling and triathlon. We are affiliated to:-
- England Athletics (EA) England Athletics Limited
- South of England Athletic Association Limited
- Surrey County Athletics Association
- Middlesex County Athletics Association
- British Cycling
- Triathlon England
The Stragglers Running Club is the data controller under data protection legislation.
What data we will collect
In becoming a member of The Stragglers Running Club, the club will collect certain information from you which will include your name, date of birth, gender, email address, address, telephone number, and (for coaches, leaders and club officials) any coaching or officiating licences you hold. Collectively this is referred to as your “Athletics Data”.
You may optionally provide emergency contact, health and allergy information.
If you are a Junior member (under the age of 18) we will also collect the name, relationship, email address and telephone number of your guardian.
Race results that are publicly available will be collated and re-published on The Stragglers Running Club website. In addition, results of club competition and inter-club competition may also be published on our website. Please be aware that when you participate in any sporting event, your results will be published on the organiser’s site and numerous other race results sites. In many cases photographs are posted with runners’ names or numbers and individuals are identified.
Photographs are often taken at The Stragglers Running Club competitions and activities. The photographs may be used by the Club on this website and in club publicity and promotion. Wherever practicable, individual names will not be used.
Why we will collect it
We will collect and process your Athletics Data for the purposes of registering you as a member of The Stragglers Running Club and administering your involvement in the club’s activities.
Inn both cases, we will process it on the basis of legitimate interests which are the interests of registering you as a member (and, where requested by you, registering your details with England Athletics) and to administer our club activities.
How long we will keep it
We will retain your Athletics Data for such time as you are a member registered with us and will then delete your information as follows:
Athletics Data: No longer than the end of the following membership year after an individual has not renewed their membership.
Published race results, photographs and Club Records: Retain indefinitely
Anonymised data (i.e. from which you cannot be identified) Retain indefinitely.
Sharing Your Data
Where you request EA affiliation (often referred to as “UKA affiliation”) and/or participation in club-entered events, we will share your Athletics Data with athletics partners including: EA and County/Area Athletics Associations.
If you run for any of the club teams, we will pass to the race organisers the data that is required for entry.
We will share your data with third- party data processors as part of administering your involvement in the club. We will only use 3rd party data processors who fully comply with the GDPR requirements.
We will not transfer your data to any other third parties without obtaining your consent and will not share any personal data that is not Athletics Data.
You have the following rights under data protection legislation:
1. to access a copy of the information comprising your personal data;
2. to object to processing of your personal data that is likely to cause or is causing damage or distress;
3. to prevent processing for direct marketing;
4. to object to decisions being taken by automated means;
5. in certain circumstances, to have inaccurate personal data rectified, blocked, erased or destroyed; and
6. can seek redress for a breach of data protection legislation.
Your data will be managed by ClubBuzz Ltd who manage data for hundreds of similar clubs in a secure hosting environment. Your data will be retained within the European Economic Area (EEA) other than where it is transferred to a third party for the purpose of setting up a payment regime where it will only leave the EEA if security meets the EU’s security requirements.
